Flash awards, an incentive for applicant collaboration and creating new connections

Goal

  • Create Flash Awards, an exclusive opportunity available to previous applicants and those invited by owners of approved applications

Possible user workflow/experience

Managers

Setup

  1. Within Admin Apply/Hypha, create two funds as you would normally

    • Application Forms (ie admin/funds/applicationform/), creates two new forms “Collaborative Flash Application” and “Referral Flash Application”.
    • Review Forms (ie admin/review/reviewform/), creates a new form “Flash Review”.
    • Create determination and approval forms, if needed
    • Funds (ie funds/fundtype/), “Add fund” to create a “Collaborative Flash Fund” and “Referral Flash Fund”
      • Specify workflow “Flash with external review” or “Flash with community review”
      • Specify the application, review forms, and determination forms
  2. Within Admin Apply/Hypha > Flash Awards, enables Collaborative and Referral awards

    • Within Admin Apply/Hypha > Flash Awards, in the Collaborative section

      • Specify which Fund to use, eg “Collaborative Flash Fund”
      • Specify “Invited to collaborate” notification text
      • Specify “Accepted invitation” notification text
      • Specify how many collaborators to allow
      • Specify a URL for more information
    • Within Admin Apply/Hypha > Flash Awards, in the Referral section

      • Specify which Fund to use, eg “Referral Flash Fund”
      • Specify “Invited to submit” notification text (what goes into an email to invitee)
      • Specify “Accepted invitation” notification text (what goes into an email to inviter)
      • Specify how many invitations per approved application an applicant is allowed
      • Specify how many months from an approved applications invitations are available to the applicant
      • Specify a URL for more information

Collaborative flash application management

  1. Waits for new submission notifications
  2. Finding, screening, reviewing, approving applications from within the Submissions space generally the same as all other submissions

Referal flash application management

  1. Waits for new invitations to be used
  2. When a new invitation is submitted, they receive notification and link directly to the invitation
  3. When an invitation is accepted, receives a notification with a link to the created submission
  4. Waits for other standard submission notifications as with all others
  5. Finding, screening, reviewing, approving applications from within the Submissions space is generally the same as all other submissions

Applicants

Collaborative Flash Application

  1. When submitting an earlier application, they chose to opt-in to have their application added into the Nexus.
  2. If their application meets the criteria for inclusion, they receive a welcome to Nexus email with information about what that means
  3. Within the Nexus, They review other applications and find others that are interesting and reach out via the individual applications Communications space.
  4. Three other applicants decide to collaborate on an application together
  5. One of the applicants creates a new collaborative flash application from within the Nexus, inviting the other to collaborate.
  6. They all have edit access on the application, can use the applications communication space to engage with each other.
  7. Once the application is finished, each has to perform a submit for the application to be submitted or delegate their submit ability to another collaborator for manager review
  8. All three receive notifications as usual
  9. All three can follow along and communicate to managers as usual

Referral Flash Application

Inviter workflow

  1. As an applicant with an approved submission with available invitations, from within the Nexus, exposed is a function to invite someone to submit a new referral flash application
  2. They complete a basic invite form, insert email of the invitee, and a text field for a personal note to be included in addition to the “Invited to submit” notification text
  3. When the invitation is accepted, they receive the “Accepted invitation” notification text

Invitee workflow

  1. Receive an email containing “Invited to submit” notification text with a link to accept the invitation
  2. Link brings them to a page asking them for their name, create a password, consent to any policies required, and a confirm and create draft application button
  3. Upon confirmation, they are directed to their draft application page
  4. They also receive an email notification with a link to their application and any other new user information
  5. They draft their application and submit it for review
  6. They receive notifications as usual for all submissions
  7. They can follow along and communicate to managers as usual
