We have a Group of external People that are our Reviewers for our Funding Programm.
We would like to give our reviewers the opportunity to read the archived applications from previous years. This will allow them to identify which project teams are resubmitting an old (rejected) project and see if the teams have improved.
Unfortunately, I haven’t been able to find a role that combines reviewer and archive permissions.
As for groups, I haven’t been able to figure out how to set up a custom group for this purpose, since archive read permissions aren’t selectable at all.
Does anyone have any ideas on how I can proceed here, or does this sound like something we’d need to develop from scratch?

Archived submissions are only accessible to staff and/or staff admins (depending on settings).
Could you solve it by not archive submissions that you want reviewers to have access to?
Archive is a relative new feature and was developed for long time Hypha users that have accumulated many thousand of submissions and wanted a way to hide them.
no, that wouldn’t work for us, since we use the archive as it is. That means we archive the old submissions to keep better track of things. If we stopped doing that, it would create too many distractions while the reviewers are working for us. These reviewers work for us as volunteer experts, and we need to make the workflow as simple as possible for them so they can focus on the content of the submissions rather than on Hypha’s usability.
A workaround is therefore not a solution compared to a more flexible enhancement of Hypha’s permissions and roles system.
We need a more flexible solution so that we can decide for ourselves which roles are allowed to view the archive.
Ideally, there would be a permissions and roles system where the administrator can specify which actions each role is generally allowed to perform in Hypha.
I know there’s something called “Groups.” But the options I can select there via checkboxes aren’t helpful, and when I tried to test them, I couldn’t figure out how they’re supposed to work.
That’s why I was wondering if anyone else ever asks for this or is interested in collaborating to work out the requirements for a feature that would be useful for everyone.
New development is needed to add an option to allow reviewers to view archived submission. A few hours work is my estimate. A setting `SUBMISSIONS_ARCHIVED_VIEW_ACCESS_REVIEWERS` that defaults to false should be added and code to handle that. Some test etc.
Do you have a developer that can handle that? If they submit a clean and neat PR to core Hypha I would be happy to merge it in.
Do your reviewers work from the submission all table/list and then self assign to submissions?
Most other organisation I work with have staff that assign submissions to reviewers.
Reviewers then get an e-mail when it’s time to review a submission, they also see all their assigned submission on their dashboard. Reviewers have access to submission all table/list but rarely go there I believe.
We as the Admins/staff/Team assign the submissions to the Reviewers.
The Reviewers do get emails. And they do work from the Dashboard and or their table/list of submission. Thats up to them to decide how they access the next submission.
We are in the process to request non-binding quotes for the next round of development. I just try to make sure to invest in userfull and more general big features insted of changing small bits that are only usefull for us at the moment. Thats why I came to the Forum.
So right now its not final what the scope of our next developmet will be and if we want to change it in the way you suggested. But however we decide, we will make sure to work upstream as usual.
